BOOKING CONDITIONS


All bookings are made with Umbria Real Estate snc. Your signature on the booking form shall be taken as your and your party's acceptance of the following conditions:

HOW TO BOOK

1. BOOKING FORM / DEPOSIT
Once you have selected your Umbria Real Estate accommodation, you can phone us, or send us a fax or an e-mail making the reservation together with the Party Leader name and the address. If the property requested is available, we will send you an “How to book” format, together with a Booking Form by fax or e-mail that you must complete, sign and return with the payment of the 30% deposit within five working days of your order if you are booking more than eight weeks (53 days) from the rental date. If you are booking within eight weeks from the rental date we must receive your booking form, completed and signed with the payment within two days of your order.
Upon receipt of payment of the deposit, we will send you soon the receipt by fax or e-mail.
No contract will exist between us until we have received the required deposit and we have issued our official confirmation receipt. If you book through a Travel Agent, then a contract will exist between us once we have issued written confirmation to your Agent.

2. PAYMENT OF THE BALANCE
The balance of the rental charge is due 8 weeks before the arrival date. Failure to this payment will be treated as a cancellation and we will be entitled to apply the cancellation charges as set out in paragraph 7.

3. LATE BOOKINGS
Late bookings are those made within 8 weeks (53 days) of your arrival date. In that case we must receive your Booking Form, completed and signed, together with the full payment within two days of your order made by phone or e-mail.

4. METHODS OF PAYMENT
Payment can be made by cheque and Bank transfer.
Payments have to be made in EURO.

5. ACCOMMODATION VOUCHER
Once the rental charge is fully settled and the Booking Form fully completed, we send you the Accommodation voucher along with the Directions how to reach the property and the useful contact telephone numbers.

6. SECURITY DEPOSIT
On arrival at the property, in order to cover possible damage or loss, guests must pay a security deposit.
The amount varies for each villa (please check on the price list).
The deposit is payable to the owner or the key holder, who reserves the right to deny access if the deposit is unpaid.
It must be made by cash and in euros. The full sum is returnable upon departure. Any loss or damage caused by your failure to respect fixtures or fittings will be deducted by the owner or the key holder from your security deposit.

7. CARE OF PROPERTY
You are responsible for ensuring that, upon departure, the villa is left in the same condition of cleanliness and repair as found upon arrival. Any loss or damage caused by your failure to respect fixtures or fittings will be deducted by the owner from your security deposit.

8. CANCELLATION BY THE CLIENT
Based upon the date on which we receive written notification of a cancellation by you for any part of your booking, or the booking being cancelled by us due to non-payment, the following charges shall apply:
- Cancellation received 8 weeks (53 days) or more before the arrival date: charge of the 30% ( deposit already paid to confirm the booking)
- Cancellation received less than 8 weeks (53 days) prior to the arrival date: charge of 100% of the total due.
The above cancellation charges apply to the property rental only. Cancellation charges for travel arrangements will depend on the conditions of the Agencies used.

9. ALTERATION & CANCELLATION BY THE COMPANY
Although it is highly unlikely that we will have to make any changes to confirmed arrangements, it does occasionally happen, and we will advise our clients at the earliest date possible. If for any reason beyond our control we are unable to provide you with the property you have booked, we reserve the right to transfer you to a similar property. If the cost is less than your original booking then you will receive a refund. If, however, the cost is more, then, upon your acceptance, you will have to pay the difference. However, if this is not possible or you do not wish to be transferred, we will cancel the booking and refund the full amount paid to us for the property, but we shall not be liable for any cancellation charges for travel arrangements.

10. BROCHURE INFORMATION
The utmost care has been taken to provide accurate details of services in this brochure.
However, proprietors do sometimes make changes and all references to the condition of the property or services must not be taken as statements of fact but as statements of opinion.

11. RESPONSIBILITY OF THE COMPANY
All due care and attention has been given to making your holiday arrangements, but since we do not personally own the villas, we cannot accept responsibility for the breakdown of the water, gas and electricity supply, telephone, quality of roads, scorched lawns due to excessive sun, or the failure of swimming pool filter systems. Although we will make every endeavour to rectify and solve any problems as soon as possible, we have no legal responsibility to compensate you for any personal injury, death, loss or damage of whatever nature suffered by you or by any member of your party.

12. INSURANCE
All clients must be insured against holidays risks. Your signature on the booking form is a declaration that you have a travel insurance cover. On the Booking Form you have to include the name and address of the insurance company and the policy number.
In compliance with the law, Umbria Real Estate is covered by the insurance policy for third-party liability.
At the time of writing the policy is with FIAIP - Federazione Italiana Agenti Immobiliari Professionali (Italian Federation of Professional Estate Agents).

13. COMPLAINTS
Should you have any problems during your stay you should contact us immediately. Failure to do so may reduce your right to compensation. Please note that if the property is abandoned without written authorisation from Umbria Real Estate all rights to compensation are lost. Please note that we can be contacted from Monday to Friday, 9:30am to 6:30pm Italian time on our office numbers, or at other times on our cellular phones. You will find the relevant phone numbers on your accommodation voucher.

14. ARRIVAL & DEPARTURE TIMES
Clients must arrive between 4pm and 7pm and leave before 9,30am on the day of departure. Should clients be unable to arrive between these times, they must let us know as soon as possible. For late arrivals the owners may charge for the extra waiting time involved. You must ask us in writing and in advance if the caretaker or the key holder, who lets you into the property is going to be able to arrange your access to the property after 7 pm. We are unable to guarantee access to any of our properties if you arrive later that 10.30 pm.
Departures. Between 8,30 and 9,30 am the key holder shall inspect the property with you, and shall expect you to settle any extra services that you might have used during your stay, including central heating and the telephone. No credit card are accepted.

15. SIZE OF PARTY / MAXIMUM OCCUPANCY
Property Owners reserve the right to refuse admittance if the number of persons arriving exceeds the number on the booking form or the maximum number the property can sleep, as set out in our web site description, except in the case of infants under two years old in a cot. The cot has to be requested on the booking form.
Caravans and tends are not permitted on the property under any circumstances. Should the key holder/U.R.E. representative discover any additional occupants, clients will be asked to vacate the villa and no refund of the rental charge will be given.

16. LAW AND JURISDICTION
Your contract with us is governed by Italian Law and comes under the exclusive jurisdiction of the Italian Courts.

17. FORCE MAJEURE AND SIGNIFICANT CHANGES
Umbria Real Estate is not liable and does not authorise any refunds for the following events: Governments, war hostilities, political unrest, civil strife, natural or nuclear disaster, earthquakes, fire, theft, epidemics, quarantine, technical or administrative problems with transports or any other occurrences beyond our immediate control and which, despite all due care being taken, could not have been avoided.

18. LETTING PERIOD
The normal minimum letting period for the villas and apartments is one week from Saturday to Saturday and there are no surcharges for one week rentals.

19. ELECTRICITY, WATER, CENTRAL HEATING & LINEN
Water: Water and tap water are included in the price – due to the long summers, water shortages do occur. Please use water sparingly.
Electricity: There is a limit of 330kw on the weekly amount of free electricity. All electricity used above this amount costs € 0.70 to 1kw and has to be paid locally. Circuit breakers are installed in Italy which can cut off the supply of electricity, if too many appliances are used at the same time.
Heating: Central heating and Hot-tubs are extras charged by consumption or by a daily fixed charge and have to be paid locally. Linen is changed on Saturdays.

20. TRAVEL AGENCY
Travel Agents must fill in the Booking Form as requested to direct clients.
